By selecting "I agree to the Enrollment Agreement", you acknowledge and agree to the terms of this Enrollment Agreement and affirm your commitment to completing the program in accordance with ImmerseLearn's standards.

1. ImmerseLearn Enrollment Agreement

1.1. Acceptance of Terms

By enrolling in an ImmerseLearn training program, you agree to comply with this Enrollment Agreement as well as our Terms of Use and Privacy Policy.

1.2. Program Participation

Once enrolled, you will gain access to the ImmerseLearn training portal and any associated resources provided by ImmerseLearn. You are expected to:

  • Participate actively in the program
  • Complete all required activities and assessments
  • Complete all VR simulations associated with the program
  • Appear for a mandatory live proctored exam

1.3. VR Headset Usage and Responsibility

As part of your enrollment, a VR headset will be shipped to you for use during the training program. You agree to use the headset in accordance with ImmerseLearn’s guidelines. You are fully responsible for the care, maintenance, and safekeeping of the device. Any damage, loss, or malfunction resulting from misuse, neglect, or improper handling will be your sole responsibility. ImmerseLearn will not be liable for repair, replacement, or reimbursement under any circumstances.

VR usage, for some users, can result in some degree of dizziness. In such case, start with short durations and increase gradually. If it persists, discontinue usage of the VR headset.

1.4. Payment and Financial Obligation

You agree to pay all applicable fees for the training program you register for. All dues must be cleared in full prior to scheduling the final program completion examination. Certificate of Completion will only be issued upon:

  • Full completion of course requirements
  • Full payment of all outstanding balances

1.5. Refunds and Cancellations

Requests for cancellations or refunds are governed by our Refund Policy.

1.6. Intellectual Property

All ImmerseLearn training materials, including videos, documents, presentations, simulations, and assessments, are the intellectual property of ImmerseLearn. You may not copy, distribute, modify, or share these materials outside the platform.

1.7. Conduct and Compliance

You agree to uphold a standard of respectful and ethical behavior during your participation. ImmerseLearn reserves the right to suspend or remove participants for:

  • Academic dishonesty
  • Disruptive or abusive behavior
  • Breach of this Agreement or our platform policies

1.8. Certification of Completion

A Certificate of Completion is granted solely at ImmerseLearn’s discretion upon successful completion of the program and payment of all fees. ImmerseLearn reserves the right to revoke or withhold certification for non-compliance.

1.9. Limitation of Liability

ImmerseLearn is not liable for technical disruptions, third-party failures, or any indirect damages resulting from your participation in the training program.

1.10. Program-end Proctored Exam

Program-end exams are live-proctored and ImmerseLearn makes it mandatory to appear for this exam as a criterion to receive a certificate of completion.

1.11. Re-exam

Users are allowed two attempts to appear for a program-end exam; exam fee is included in the enrollment package.

After the second attempt, an additional fee of $50 (Fifty dollars) will be charged for every subsequent attempt.

It is mandatory to successfully pass the exam to be eligible to receive a Certificate of Completion.

1.12. Exam Preparation and Performance

ImmerseLearn provides training and preparation support for external certification exams; however, ImmerseLearn does not guarantee that you will pass any external exams. Your performance in any such examination is solely your responsibility and depends on your individual effort, understanding, and commitment. ImmerseLearn’s role is limited to providing instructional content and guidance.

2. Externship Policy

The externship component of each ImmerseLearn program is designed to bridge classroom and virtual reality (VR) training with real-world, hands-on experience. It prepares students to apply their skills in practical settings, build professional confidence, and meet workforce readiness standards.

2.1. Requirements

All students must complete a supervised externship prior to receiving a Certificate of Completion from ImmerseLearn.

2.2. Program Type and Minimum Externship Hours

2.3. Eligibility

To begin an externship, students must:

  • Successfully complete all required coursework and VR simulations
  • Pass ImmerseLearn program completion proctored exam
  • Pass certification body (NATE, NABCEP, OSHA, ASE) exams
  • Be in good standing with no overdue tuition (if applicable)

2.4. Externship Site Requirements

Externship sites must:

  • Be licensed, certified, or operating legally in their field
  • Provide a safe and appropriate learning environment
  • Assign a qualified supervisor or mentor to oversee the student
  • Allow the student to perform hands-on tasks relevant to their training

2.5. Documentation

Students are required to:

  • Submit an Externship Agreement Form signed by the site supervisor
  • Maintain a Weekly Activity Log documenting hours and tasks in a format provided by ImmerseLearn
  • Submit an Externship Completion Form signed by the supervisor
  • Complete a short Reflection Report on their experience

2.6. Grading & Evaluation

Externships are evaluated on a Pass/Fail basis. To pass, students must:

  • Meet the required minimum hours
  • Demonstrate professional conduct and competence
  • Receive a satisfactory evaluation from their site supervisor

2.7. Liability Disclaimer

Students acknowledge that ImmerseLearn is not liable for any injuries or accidents that may occur during the externship period. Participation in externships is at the student’s own risk, and all responsibility for personal safety and incident-related costs rests solely with the learner.

2.8. Placement Support

ImmerseLearn provides assistance with externship placement by:

  • Maintaining a network of participating employers
  • Offering support letters and verification for workforce programs

*Students will arrange their own externship site, subject to approval.*

2.9. Exceptions & Extensions

In special circumstances (e.g., medical or family emergency), students may request:

  • A temporary waiver or extension (with documentation)
  • An alternative project-based assessment (case-by-case basis only)

3. Disclaimer of Liability

ImmerseLearn provides certification training and educational content through immersive VR and 3D simulations. All materials, programs, and simulations are intended solely for educational and training purposes.

ImmerseLearn does not assume any responsibility or liability for accidents, injuries, damages, or losses that may occur when learners or third parties attempt to apply the training in real-world environments, including but not limited to HVAC, plumbing, electrical, or other skilled trade work. Learners are responsible for ensuring that any real-world application of skills is performed under appropriate supervision, with proper safety procedures, and in compliance with all applicable laws, codes, and licensing requirements.

Additionally, the use of VR headsets may cause discomfort or side effects such as dizziness, nausea, eye strain, or disorientation. Learners acknowledge and accept that they are responsible for monitoring their own health and safety when using VR equipment. ImmerseLearn is not liable for any injuries, accidents, or health-related issues that may arise during or after VR use.

By enrolling in our programs, you acknowledge and agree that ImmerseLearn is not liable for any outcomes, damages, injuries, or incidents arising either from (1) the practical application of training outside the VR/LMS environment, or (2) the use of VR equipment during training.
