Enrollment Agreement

1. ImmerseLearn Enrollment Agreement

1.1. Acceptance of Terms

By selecting “I Agree to the Enrollment Agreement” and enrolling in an ImmerseLearn training program, you acknowledge and agree to comply with this Enrollment Agreement, as well as our Terms of Use , Refund Policy , and Privacy Policy .

1.2. Program Participation

Once enrolled, students will gain access to the ImmerseLearn training portal and associated learning resources. Students are expected to:

  • Participate actively in the program
  • Complete all required coursework, activities, and assessments
  • Complete all required VR simulations associated with the program
  • Appear for mandatory live-proctored exams where applicable

1.3. VR Headset Usage and Responsibility

As part of enrollment, a VR headset may be shipped to the student. Students agree to use the headset in accordance with ImmerseLearn guidelines and instructions.

Students are responsible for the care, maintenance, and safekeeping of the VR headset. ImmerseLearn shall not be responsible for repair, replacement, theft, misuse, neglect, or damage caused by improper use.

VR usage may cause dizziness, discomfort, motion sensitivity, nausea, eye strain, or disorientation in some users. Students should begin with short sessions and gradually increase usage. If symptoms persist, students should discontinue use and consult a medical professional.

1.4. Payment and Financial Obligation

Students agree to pay all applicable tuition, fees, and payment obligations associated with the program.

All outstanding balances must be paid in full before:

  • Final exams are scheduled
  • Certificates of Completion are issued
  • Career Services support is activated where applicable

Payment Compliance and Default

Student agrees to comply fully with the payment terms and payment schedule outlined in this Enrollment Agreement. Timely payment is a material condition of continued enrollment in the program.

In the event that any scheduled payment is declined, returned, reversed, disputed, or otherwise not successfully processed for any reason (“Payment Failure”), the student shall be notified and provided an opportunity to resolve the issue within the timeframe specified by ImmerseLearn.

If more than two (2) Payment Failures occur during the term of the payment schedule, ImmerseLearn reserves the right, at its sole discretion, to:

  • Suspend access to the program
  • Pause Career Services support
  • Remove LMS access
  • Disqualify the student from continued participation

Exceptions

ImmerseLearn may, at its sole discretion, consider exceptions in cases of documented hardship or extenuating circumstances. Requests for consideration must be submitted in writing.

Automatic Payment Authorization

If a Payment Failure results from a student canceling, blocking, disputing, or interfering with an authorized automatic payment without prior written approval from ImmerseLearn, such action may constitute a material breach of this Agreement.

1.5. Refunds and Cancellations

Refunds and cancellations are governed by the refund provisions contained in this Agreement and the Refund Policy .

Refund Eligibility

Students are eligible for a full refund if the cancellation request is submitted within seven (7) calendar days of the purchase date.

To request a refund, students must contact the designated ImmerseLearn support representative.

No Refunds After 7 Days

Refunds will not be issued after seven (7) calendar days from the date of purchase.

After the refund period expires:

  • Tuition becomes non-refundable
  • The VR headset becomes the student's property
  • Access to course materials may continue subject to payment compliance

VR Headset Return Requirement

If a refund is approved during the refund period, the VR headset must be returned within fourteen (14) days in original condition. Failure to return the headset or returning damaged equipment may result in deductions from the refund amount.

Refund Processing

Approved refunds will be processed to the original payment method after the returned VR headset has been received, inspected, and verified to be in new and original condition.

ImmerseLearn reserves the right to deduct charges for any damage, excessive wear, missing accessories, or misuse of the equipment.

1.6. Intellectual Property

All ImmerseLearn training materials, VR simulations, videos, documents, presentations, assessments, LMS content, and related materials are the intellectual property of ImmerseLearn.

Students may not:

  • Copy
  • Record
  • Reproduce
  • Share login credentials
  • Distribute course content
  • Upload or publish training materials online
  • Modify or resell program materials

Unauthorized distribution or misuse of materials may result in termination from the program and possible legal action.

1.7. Conduct and Compliance

Students agree to maintain professional, respectful, and ethical conduct throughout the program.

ImmerseLearn reserves the right to suspend or remove students for:

  • Academic dishonesty
  • Disruptive or abusive behavior
  • Harassment or misconduct
  • Violation of platform policies
  • Breach of this Agreement

1.8. Certificate of Completion

A Certificate of Completion may be granted upon:

  • Successful completion of program requirements
  • Passing required program assessments
  • Full payment of all outstanding balances

ImmerseLearn certificates represent completion of the training program only and are not equivalent to state licensure or third-party industry certification unless explicitly stated.

1.9. Limitation of Liability

ImmerseLearn shall not be liable for:

  • Technical interruptions
  • Internet connectivity failures
  • Third-party platform disruptions
  • Employer hiring decisions
  • Certification testing outcomes
  • Indirect or consequential damages

1.10. Program-End Proctored Exam

Students may be required to complete a live-proctored final exam as a condition of successful program completion.

1.11. Re-Exam Policy

Students are allowed two (2) attempts for the program-end exam included within tuition.

After two unsuccessful attempts, a re-examination fee of $50 may apply for each additional attempt.

1.12. Exam Preparation and Performance

ImmerseLearn provides training and preparation support for external certification exams where applicable; however, passing external certification exams is not guaranteed.

Certification outcomes depend on:

  • Student participation
  • Study effort
  • Testing performance
  • Third-party testing standards

Students are responsible for reviewing and understanding any state-specific licensing, certification, registration, or employment requirements applicable to their state or location prior to enrollment and program completion.

2. Career Services and Job Placement Support Policy

ImmerseLearn is committed to supporting students in launching their careers after successful completion of their training program.

Career Services may include:

  • Resume preparation and optimization
  • Interview preparation and coaching
  • Job-readiness support
  • Access to employer networks and job opportunities
  • Assistance with entry-level job placement opportunities
  • Career guidance and professional development support

2.1. Duration of Career Services Support

Career Services support and job placement assistance are provided for a maximum period of six (6) months following the student's successful completion of all program requirements, certification requirements where applicable, and financial obligations.

2.2. Student Responsibilities

To remain eligible for Career Services support, students agree to:

  • Complete all required coursework and program requirements
  • Participate actively in the job search process
  • Attend interviews and respond to employer communications
  • Follow Career Services recommendations and guidance
  • Maintain professional conduct and communication

Failure to actively participate may result in suspension or termination of Career Services support.

2.3. Employment Eligibility Requirements

Students understand that employers may have their own hiring requirements and screening processes, which may include:

  • Criminal background checks
  • Driving record reviews
  • Drug screenings
  • Professional license verification
  • Employment eligibility verification

Certain criminal histories, driving violations, failed drug screenings, or employer-specific requirements may negatively impact employment opportunities. ImmerseLearn does not control employer hiring decisions and cannot guarantee employment eligibility or placement outcomes.

2.4. No Guarantee of Employment or Apprenticeship

ImmerseLearn provides job placement support and career assistance; however, employment, apprenticeships, salaries, certifications, job titles, geographic placement, and placement timelines are not guaranteed.

Hiring decisions are made solely by employers and depend on multiple factors, including:

  • Student performance
  • Employer requirements
  • Industry demand
  • Geographic location
  • Background screening results
  • Licensing or eligibility requirements

ImmerseLearn does not guarantee any specific employer, salary, apprenticeship opportunity, or timeframe for employment.

3. Disclaimer of Liability

ImmerseLearn provides certification training and educational content through immersive VR and 3D simulations. All materials, programs, and simulations are intended solely for educational and training purposes.

ImmerseLearn does not assume any responsibility or liability for accidents, injuries, damages, or losses that may occur when learners or third parties attempt to apply the training in real-world environments, including but not limited to HVAC, plumbing, electrical, healthcare, automotive, or other skilled trade work.

Learners are responsible for ensuring that any real-world application of skills is performed under appropriate supervision, with proper safety procedures, and in compliance with all applicable laws, codes, licensing requirements, and industry standards.

Additionally, the use of VR headsets may cause discomfort or side effects such as dizziness, nausea, eye strain, motion sickness, or disorientation. Learners acknowledge and accept that they are responsible for monitoring their own health and safety when using VR equipment.

ImmerseLearn is not liable for any injuries, accidents, health-related issues, damages, or losses arising during or after VR use.

By enrolling in our programs, you acknowledge and agree that ImmerseLearn is not liable for any outcomes, damages, injuries, incidents, or losses arising from:

  • The practical application of training outside the VR or LMS environment
  • The use of VR equipment during training
  • Employment decisions made by third-party employers
  • Certification examination outcomes
  • Employer hiring requirements or screening results
